Drawings

Technical drawings (staging plots, rigging plans, power distribution, sightlines) let every department — audio, lighting, video, rigging, venue — work from the same source of truth. Without them, crews show up and start guessing, which costs time and creates safety risks, especially with overhead rigging or load calculations.

Redundancy planning

Live events have no "undo" button. Pre-production is when you identify single points of failure — one server, one generator, one signal path — and build in backups. If a mixing console dies mid-show, you want a hot spare already patched in, not a scramble.

Labor management

Knowing crew call times, load-in sequencing, and department dependencies ahead of time prevents overtime blowouts and bottlenecks (e.g., electricians finishing before AV can rig, riggers clearing before lighting can focus). Pre-production turns "who's doing what, when" from a guess into a schedule.

Resource management

Equipment, trucking, and rental gear all have lead times and costs. Locking specs in pre-production avoids last-minute rentals at premium rates, duplicate orders, or discovering a gap in inventory the week of the show.

In short: pre-production converts unknowns into a plan, so show week is about execution, not discovery.
